AI meeting notes: the real win and the layers owners skip

2026-10-01

A transcript is a record of what was said; a decision record is the version a person has checked, and only the second belongs near a commitment.

The meeting ends, and before everyone has left the room a transcript is waiting, with a tidy summary attached. It feels like the work of notes is finished. In our experience the work has barely started, and the owner who treats the transcript as the deliverable loses the win twice.

The genuine win is real and worth naming: the words of the meeting are captured without anyone typing, and recall becomes cheap. Nobody reconstructs a decision from memory three weeks later, because the raw material of it survives. That is worth having, and it is only the floor.

The first skipped layer is consent. People in the meeting should know the meeting is being transcribed, and how the notes will be used is the company's policy to state plainly, not the tool's terms to decide quietly on everyone's behalf. The account doubles when the other side is a client: announce the transcription at the start as a matter of routine, and leave room for anyone present to object.

The second skipped layer is accuracy. A transcript is a record of what was said; a decision record is a different object, one where the names, the amounts, and the dates have been checked by a person before they enter the CRM or a commitment email. A fluent summary of a misheard number is worse than no summary, because it travels with confidence and gets quoted onward.

The third layer is the record's home. Notes that live inside the tool's own app are not company records; they belong where the company keeps decisions, next to the actions they produce. A brilliant transcript buried in somebody else's interface is functionally the same as a napkin.

The failure versions are common enough to have become a genre. The client meeting recorded without telling the client, and the trust damage when it surfaces later. The action item that died inside a transcript nobody read twice, because capture replaced ownership. The amount transcribed wrong and quoted onward to the client, discovered the week the invoice went out.

Guidance, not guarantees: our own practice is to announce the transcription as routine, put one person in charge of turning the transcript into a short decision record, check every name, amount, and date against the source of truth, and land the notes in our own system the same day. The tools will keep changing; the discipline is what compounds.

FAQ

Direct, unambiguous answers

Should I tell people the meeting is being transcribed?

Yes, announce it at the start as a matter of routine. People in the meeting should know it is being transcribed, and how the notes will be used is company policy to state plainly, not the tool's terms to decide quietly. When clients attend, the duty doubles: disclose, and leave room to object.

Is an AI transcript the same thing as meeting minutes?

No. A transcript records what was said; a decision record is a different object, where the names, amounts, and dates have been checked by a person before they reach your CRM or a commitment email. A fluent summary of a misheard number is worse than no summary, because it travels with confidence.

Where should AI meeting notes be stored after the meeting?

In the system your company owns, rather than inside the tool's app. Notes that live in somebody else's interface are not company records; move them next to the decisions and actions they produce, ideally the same day. A transcript buried in a vendor's app is functionally a napkin.

What should I check before acting on an AI meeting summary?

Check every name, amount, and date against the source of truth before anything enters a commitment. The transcript is a record of what was said, and a misheard figure quoted onward to a client is discovered the week the invoice goes out. Put one person in charge of the review so the step is owned.
